If your TallyPrime lives on one computer in the accounts room, every report, every GST question and every “send me the outstanding list” depends on that one machine and the one person sitting at it. Moving to Tally on cloud changes where Tally runs, not how you use it. This guide compares Tally on cloud vs desktop from a business owner’s point of view, so you and your accountant can decide what actually changes.
Key takeaways
- Tally on cloud is the same TallyPrime you use today, running on a server and opened in a web browser instead of on your office PC.
- The big changes are access (from anywhere, by several people), backups (automatic and off the PC) and control (who sees which company).
- Your Tally licence, your data and your daily workflow stay yours. The cloud service is a separate cost; the Tally licence is not included in it.
What “Tally on cloud” actually means
There is no different “cloud version” of your books to learn. With a hosted setup, TallyPrime is installed on a server in a data center. You open it through a browser, and the screen you see is the same Gateway of Tally, the same vouchers and the same reports.
Think of it as moving the computer out of your office and into a secure building, while you keep the keyboard. Your accountant still types the same shortcuts. What changes is everything around Tally: who can reach it, where the data sits and what happens when something goes wrong.
Tally on cloud vs desktop: side-by-side comparison
Here is how the two setups compare on the points owners and CAs usually ask about.
| Question | Tally on office PC | Tally on cloud (Sukam) |
|---|---|---|
| Where does Tally run? | On one office computer or a local server | On a server in a Tier 4 data center |
| How do you open it? | Sit at that computer, or set up remote-desktop tools yourself | Any web browser on Windows, Mac or mobile; no extra software on the device |
| Who can work at the same time? | Depends on your licence and office network | Users you create, each with their own login (licence rules still apply) |
| Backups | Manual, usually on the same PC or a pen drive | Scheduled automatic backups, even when Tally is closed, to your computer or Google Drive |
| If the PC crashes or is stolen | Data may be lost or stuck until repair | Log in from another device and keep working |
| Control over who sees what | Whoever sits at the PC sees everything on it | Admin assigns users to groups; each group sees only its assigned companies |
| Activity record | Limited | Access logs of user actions (running Tally, uploads, backups) and admin actions |
| Printing and exports | Local printer | Print to any printer connected to your computer, incl. network printers; exports go to your Downloads folder |
| Add-ons and TDLs | Installed on the PC | Uploaded to the cloud setup and tested with you before go-live |
What changes for the business owner
You can see your numbers without calling the office
On a desktop setup, checking a party’s balance from a dealer’s shop in Amritsar means phoning the accountant and waiting. On cloud, you open the browser on your phone or laptop and look yourself. Owners who want a wider daily view can read our guide to real-time business reports. That one change often matters more than any feature list.
If you want those numbers alongside your sales pipeline, Sukam Apps CRM can also connect with Tally. See how that works in our guide to Tally and CRM integration.
The office PC stops being a single point of failure
A hard disk failure, a power surge or a virus on the accounts computer can stop billing for days. On the cloud, Tally does not live on that PC anymore. If one computer breaks, your accountant can log in from another one and carry on.
You decide who sees which company
Many owners run more than one company or firm in Tally. With Sukam’s setup, the admin manages users, passwords and roles. Users are put into groups, each group sees only the companies assigned to it, and groups cannot see each other’s companies. Your billing staff for Firm A never needs to see Firm B.
What changes for your accountant or CA
Day to day, very little. They use the same TallyPrime screens and shortcuts. A few things become easier:
- No more data copies on pen drives. Your CA logs in with their own user instead of carrying a backup back and forth at year-end or GST time.
- Several windows at once. Each user can open up to 3 Tally windows at the same time, and the admin can allow more.
- GST and export templates. GSTR templates, export templates, TDL files, logos and settings files can be uploaded to the cloud setup.
- Printing still works. Invoices print on the printer attached to their own computer, including network printers.
We cover the access side in detail in a separate guide on giving your CA access to Tally without sharing your computer. Planning the move? Use our add-ons and TDL pre-migration checklist.
What does not change
- Your Tally licence. You keep using your existing Tally licence. Tally is a product and trademark of Tally Solutions; Sukam Apps hosts it, it does not sell a replacement for it.
- Your data and ledgers. Companies are moved as they are. No re-entry of masters or vouchers.
- Your add-ons and TDLs. Existing add-ons, connectors and TDLs keep working, and Sukam tests them with you before go-live.
- Your working style. Same shortcuts, same reports, same voucher entry.
Is Tally on cloud safe?
This is usually the first question from owners who have kept books on one PC for years. A fair comparison is not “cloud vs perfect safety” but “cloud vs your current accounts computer”. Ask yourself who has the password to that PC, when it was last backed up and whether the antivirus is up to date.
Sukam’s Tally on Cloud runs on a Linux backend with SSL-secured browser access, licensed Windows and TS Plus, antivirus, backup systems and multi-level security with access management. It is hosted in a Tier 4 data center with a stated uptime of 99.995%. No setup is risk-free, which is why automatic backups and access logs matter just as much as the server itself.
Cost: what you are paying for
On a desktop setup, the costs are spread out and easy to miss: the computer, its upkeep, antivirus, a UPS, the time spent on manual backups and the cost of a day when billing stops. On cloud, you pay a service fee for hosting, backups, security and support.
One point to be clear about: the Tally licence is not included in Sukam’s Tally on Cloud price. Your existing licence is supported. Sukam does not publish a price list because cost depends on users and setup, but pricing is transparent with no hidden costs. Ask for a quote during the demo.
When desktop Tally is still fine
Cloud is not automatically right for everyone. Desktop may be enough if:
- One person does all the accounting from one desk, and nobody else needs access.
- You already have a tested backup routine that keeps a copy off the premises.
- Your CA is happy to work from backup copies and you rarely check numbers away from the office.
If two or more of those are not true for you, cloud is worth a serious look. Picture a trading firm in Ludhiana with a billing clerk, an accountant and an outside CA, plus an owner who travels for dealer visits. That is exactly the situation where one office PC becomes a bottleneck.
How the move works with Sukam
- Book a demo. Tell us how many users, companies and add-ons you have.
- Sukam sets up Tally on its cloud server with backups and user access, and tests your add-ons with you before go-live.
- Open Tally from any browser. Your team logs in and starts working.
In Punjab, Chandigarh and Haryana, training happens in person at your office; elsewhere in India it is done online. Every client gets a dedicated support person, not a call-center queue. Full details are on the Sukam Tally on Cloud page, and more guides are in our Tally on Cloud Guides section.
Frequently asked questions
Is Tally on cloud different software from TallyPrime?
No. It is the same TallyPrime, installed on a cloud server and opened in a browser. Screens, shortcuts and reports stay the same.
Do I need to buy a new Tally licence for cloud?
No. Sukam supports your existing Tally licence. The licence is not included in Sukam’s service price.
Can I use Tally on cloud from my mobile?
Yes. Sukam’s Tally on Cloud opens in a web browser on Windows, Mac and mobile, with no extra software to install.
What happens to my data if my office computer crashes?
Your Tally data is on the cloud server, not the office PC, so you can log in from another device. Scheduled backups also keep copies on your computer or Google Drive.
Can I print invoices from Tally on cloud?
Yes. You can print to any printer connected to your computer, including network printers. Exports save to your Downloads folder.
