Most sales and support teams in India already run on WhatsApp. The real question is how your team should log in to it. A WhatsApp Business Web login on a laptop is enough for one or two people. Once several people reply from the same number, or every lead has to land in a CRM, the WhatsApp Business API is the only setup that keeps up.
This guide walks through the four ways a business can access WhatsApp, how each sign-in works, what breaks as your team grows, and how to keep the account safe. It is written for owners and sales managers at Indian SMBs who want a clear answer, not a technical manual.
Key takeaways
- Business App is free and works well for one person or a very small team.
- WhatsApp Web and Desktop are not separate accounts. They are linked screens of the same number, with a limit of four linked devices.
- The 14-day rule: if the main phone is not opened for 14 days, every linked device is logged out.
- The API has no single phone at the centre. It runs on a server, supports many agents, and connects to your CRM.
- Two-step verification and a monthly linked-device check should be standard on every business number.
Four ways a business can access WhatsApp
1. WhatsApp Business App on the phone
The free WhatsApp Business App adds what the personal app lacks: a business profile, product catalogue, quick replies, greeting and away messages, and labels to sort chats (New lead, Payment pending, Order done). For a shop owner or a single salesperson, this is the natural starting point. Its limit is simple: one number is managed from one main phone.
2. WhatsApp Web (web.whatsapp.com)
WhatsApp Web opens the same account in a browser. Your team gets a big screen and a proper keyboard, which helps a lot when typing long quotations or support replies all day.
3. WhatsApp Desktop app (Windows and Mac)
The Desktop app works like WhatsApp Web but runs as its own program, with better notifications and calling. Like Web, it is a linked device, not a second account.
4. WhatsApp Business API
The API is not something you download from the Play Store. It is provided through a Meta-approved provider and runs on a server, so many agents, chatbots and your CRM can all use one WhatsApp number at the same time. You can read a detailed side-by-side in our guide on WhatsApp Business App vs WhatsApp Business API.
Quick comparison table
| Method | Who can use it | Device limit | CRM connection | Automation | Stays logged in? |
|---|---|---|---|---|---|
| Business App (phone) | 1 main user | 1 phone + 4 linked | No | Greeting, away, quick replies | Yes, on the main phone |
| WhatsApp Web | Anyone at that browser | Counts as 1 of 4 linked | No | Same as app | Logs out after 14 days of main-phone inactivity |
| WhatsApp Desktop | Anyone at that computer | Counts as 1 of 4 linked | No | Same as app | Same 14-day rule |
| Business API | Many named agents | No phone limit | Full | Bots, workflows, templates, broadcasts | Yes, server-managed |
How to do a WhatsApp Business Web login (QR code method)
- On the computer, open web.whatsapp.com in Chrome, Edge, Firefox or Safari, or open the WhatsApp Desktop app. A QR code appears.
- On the phone, open the WhatsApp Business app.
- Go to Linked devices. On Android: tap the three dots at the top right, then Linked devices. On iPhone: Settings, then Linked devices.
- Tap Link a device and unlock with fingerprint, Face ID or PIN.
- Point the phone at the QR code on the computer screen and hold it steady.
- Wait a few seconds while chats sync. You are now logged in.
Tip: scan with the scanner inside WhatsApp, not the phone’s normal camera app. The normal camera will not link the device.
Login with phone number instead of QR
If the phone camera is not working or the phone is far away, click Log in with phone number on the computer. Enter the number with country code (+91). An 8-character code appears on the computer screen. On the phone, go to Linked devices, choose to link with phone number instead, and type that code. The account must still be active on the main phone.
Multi-device rules every team should know
- Maximum four linked devices plus the main phone. To add a fifth, you must remove one.
- Linked devices work even when the phone is off. Since WhatsApp’s multi-device update, Web and Desktop no longer need the phone online every minute.
- The 14-day rule: if nobody opens WhatsApp on the main phone for more than 14 days, all linked devices get logged out.
- Unused linked devices can also be logged out automatically after about 30 days of inactivity.
- One shared inbox: everyone on a linked device sees the same chats. There are no separate agent logins, no chat assignment, and no record of who replied to which customer.
- Some features stay on the main phone only, such as sharing live location and managing broadcast lists.
Which login method suits your sales and support team?
Business App + Web login is enough when
You are a solo seller or a two-person team, enquiries per day are manageable, and one person is clearly responsible for the number. Catalogue, quick replies and away messages cover most needs, and the setup is free and ready in minutes.
You have outgrown the app when
- Three or four people are passing one phone around or fighting over WhatsApp Web.
- Nobody can say who replied to a customer, or a customer gets two different answers.
- Leads from IndiaMART, TradeIndia, Justdial or Meta Ads sit unanswered for hours.
- Follow-ups are tracked in an Excel sheet or someone’s memory.
- The owner has no daily report of chats handled, pending, or converted.
At this point the free app starts costing you deals. That is the right time to move to the API.
Simple decision rule for Indian SMBs
One person, low volume: Business App plus WhatsApp Web. More than two people replying, leads coming from portals or ads, or a need for automatic replies and follow-ups: WhatsApp Business API connected to a CRM.
WhatsApp Web login problems and quick fixes
QR code expired or not scanning
The QR code refreshes about every minute. If it turns grey, click reload and scan the new one straight away. Increase screen brightness, hold the phone 15 to 30 cm away so the full code fits in view, and make sure you are using WhatsApp’s own scanner.
QR code not loading at all
Try an incognito window, turn off ad blockers or dark-mode extensions, switch browser, or clear site data for web.whatsapp.com. Office firewalls and some VPNs also block WhatsApp Web; test on mobile hotspot to check.
Messages not syncing or “logged out” suddenly
Open WhatsApp on the main phone. If it has not been opened for 14 days, linked devices are logged out and you must scan again. Also check the phone has internet, then restart the browser or Desktop app.
OTP vs linking code confusion
The 6-digit SMS OTP is only for registering the number on a new phone. Linking a computer never needs that SMS. If you get an OTP you did not ask for, someone may be trying to take over the number. Do not share it with anyone.
Keep your business WhatsApp secure
- Turn on two-step verification: Settings, Account, Two-step verification. Set a 6-digit PIN that only the owner knows. WhatsApp never asks for this PIN on call or chat.
- Check Linked devices every month: remove old office computers, ex-employees’ laptops and any device you do not recognise.
- Log out from shared computers at the end of the day, especially at reception or cyber cafes.
- Treat an unexpected OTP as an alert, not a glitch: check linked devices, confirm two-step verification is on, and contact WhatsApp support through the app.
Moving to WhatsApp Business API with Sukam Apps
API sessions do not depend on any one person’s phone. Bots, auto-replies and follow-ups keep running at night and on Sundays, as long as the provider’s service and webhooks are working. For a growing sales or support team, that reliability is the main reason to switch.
Getting the API live means applying through a Meta-approved provider, verifying your business with Meta, and setting up the number and message templates. Sukam Apps handles this setup for you and connects WhatsApp to Sukam Apps CRM, so:
- Leads from IndiaMART, TradeIndia, Justdial, Facebook and Instagram ads arrive in one place automatically.
- Each lead is assigned to the right salesperson based on your rules.
- Follow-up messages and payment reminders go out on time without manual work.
- The owner sees who replied, what is pending, and what converted.
Sukam Apps has been helping Indian businesses since 2011, with on-site setup and staff training in Punjab, Chandigarh, Haryana, Delhi NCR and Himachal, and remote setup with a dedicated account manager across India. Meta’s per-message charges are billed separately from the platform fee, and green tick approval is Meta’s decision, so we never promise it.

Frequently asked questions
Can multiple salespeople log in to WhatsApp Business App as separate users?
No. The Business App allows one main phone and up to four linked devices, but all of them share one inbox. There are no separate agent logins or chat assignment. For named agents with their own logins, you need the WhatsApp Business API.
Does WhatsApp Web work if the main phone is switched off?
Yes, for a while. Linked devices keep working without the phone being online, but if WhatsApp is not opened on the main phone for more than 14 days, all linked devices are logged out.
Is WhatsApp Business Web login free?
Yes. WhatsApp Web, Desktop and the Business App are free. The WhatsApp Business API has a provider platform fee plus Meta’s per-message charges.
What should I do if I receive an OTP I did not request?
Do not share or enter it. Check Linked devices, remove anything unknown, make sure two-step verification is on, and contact WhatsApp support from inside the app.
When should we move from WhatsApp Web to the API?
When more than two people reply from one number, leads come from portals like IndiaMART and TradeIndia, or you need automatic replies, follow-ups and CRM reports. Sukam Apps can set up the API and connect it to your CRM.
